Schedule an AppointmentHow we collect, use and protect your information. Last updated October 17, 2026.
BookKeeping Included provides bookkeeping for businesses that process payments on Clover through us. This policy explains what information we collect on this website and through our bookkeeping service, how we use it, who we share it with, and the choices you have. In this policy, "we," "us" and "our" mean BookKeeping Included.
Through our contact form. When you ask for more information, we collect your name, email address and business name, along with your phone number, your current card processor and a message if you choose to provide them. We also record when you submitted the form. We mainly contact you by email. If you give us your phone number, you agree that we may call or text you about your inquiry or account if we need to reach you. Message and data rates may apply, and you can reply STOP to any text to opt out.
Through scheduling. When you book a call, you give your name, email address and any details you enter in our scheduling tool, which is provided by Calendly.
Through our bookkeeping service. If you become a client, we collect the documents and access needed to keep your books. That can include your questionnaire, bank and credit card statements, payroll account details and wage reports, receipts and tax-related records. You upload documents through QuickBooks, and you give us access to your accounting file and your Clover account by approving an invitation. You connect your own bank feeds, and we never see or ask for your bank login or passwords.
Automatically. Like most websites, our site and our hosting provider may collect technical information such as your IP address, browser type, device and the pages you visit.
We use your information to respond to your questions, schedule and hold discovery calls, decide whether we are a good fit to work together, set up and deliver our bookkeeping service, communicate with you about your account, keep our website secure and working, and meet legal and professional obligations. Artificial intelligence does the bookkeeping processes in our service, such as categorizing transactions and matching deposits, and a person on our team reviews all of the work.
We do not sell your personal information. We share it only with service providers that help us run the business, and only as needed to provide their services. These include Webflow, which hosts our website and receives form submissions; Make, which routes new inquiries to our team; Slack, which we use to notify our team of new inquiries; Google, which provides the email and spreadsheets we use; Calendly, which handles scheduling; Intuit QuickBooks, where we keep client books and receive client documents; Anthropic, whose Claude AI service processes client records to perform the bookkeeping work described above; and Clover, whose data we read with your permission. These providers handle information under their own privacy and security terms.
We may also disclose information when required by law or legal process, to protect the rights, safety or property of our clients, our team or others, or to investigate fraud or abuse. If BookKeeping Included is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, and we will tell you if your information becomes subject to a different privacy policy.
Our website uses cookies and similar technologies that are needed to make it work. Our scheduling tool may set its own cookies when you use it. We do not currently use advertising cookies or sell data for cross-site advertising. You can block or delete cookies in your browser settings, though parts of the site may not work as expected.
We use reasonable administrative and technical safeguards to protect your information, including access-controlled accounts for client documents and limiting access to team members who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Email is not a secure channel, so please upload documents through QuickBooks and never email us passwords, bank logins or full account numbers. We will never ask you for your bank or Clover login. When we need access, we send an invitation that you approve yourself.
We keep inquiry information for as long as it is useful to follow up with you and for a reasonable period afterward. For clients, we keep your records for as long as we provide services, and afterward as needed to meet legal, tax and professional requirements and to resolve disputes. When information is no longer needed, we delete it or make it anonymous.
You can ask us what personal information we hold about you, ask us to correct or delete it, and opt out of marketing emails, calls or text messages at any time. Email hello@bookkeepingincluded.com and we will respond within a reasonable time. Some records, such as financial records we are required to keep by law, may not be deletable on request. Depending on where you live, including California and some other states, you may have additional rights under state privacy laws, and we will honor valid requests. We do not sell or share personal information for cross-context behavioral advertising.
Our website and services are intended for business owners and are not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
Our site may link to other websites, including our social media pages and scheduling provider. We are not responsible for the privacy practices of those sites, and we encourage you to read their policies.
We may update this policy from time to time. When we do, we will post the new version on this page and change the date at the top. If a change is significant, we will take reasonable steps to let you know.
